Procurement Officer
Job Purpose
The main purpose of the job is to ensure the Club procures goods and services of the right quality while observing proper corporate, governance and ethical policies.
 
Main Responsibility
  • Analyse purchase requests from the user departments and determine the appropriate method of procurement, quotation, tender and request for proposals,
  • Liaise and provide assistance to user departments, when required, in the preparation of specifications. Also ensure adequate supply of goods and services,
  • Coordinate the preparation of the procurement documents, utilizing sound sustainable procurement practices, while adhering to corporate policies and government legislation,
  • Schedule, organize and facilitate job-site and/or pre-bid meetings related to quotations, tenders and proposals,
  • Attend and preside over public openings of tenders, proposals and quotations,
  • Conduct an in-depth analysis of all bids received in response to each tender, proposal and quotation to identify the response that best meets the needs of the user department,
  • Use judgment, diplomacy and confidentiality with respect to the complete procurement process, ensuring integrity of the respondents bid information,
  • Involvement in preparation of contracts and tender awards that may be confidential or sensitive information related to property or personnel, or legal implications,
  • Prepare contract with suppliers and maintain contracts after award, ensuring that all documents are kept current and complete. Confer with suppliers regarding delivery, quality, etc. to ensure that the requirements are met, 
  • Monitor contracts and suppliers’ performance and consult with suppliers and/or user departments to implement corrective action when required,
  • Arrange for samples, testing and evaluation of new products. Collaborate with users on new standing agreements, ensuring user awareness of product lines of new suppliers,
  • Contribute to the development and formulation of purchasing procedures and practices as required.
  • Represent the department in various meetings with administration, suppliers and committees,
  • Negotiate with suppliers to ensure the club gets value for money,
  • Ensure adherence to budgets when procuring, and
  • Prepare ongoing reports for management to reflect expenditure.
Qualifications and Experience
  • Diploma in Procurement Management,
  • Degree in purchasing and supplies is an added advantage,
  • Minimum of 4 years experience in a busy environment preferably the hospitality industry with at least 2 years in a managerial post,
  • Excellent negotiation, communication, analytical, planning and reporting skills,
  • Hands on self driven individual.
