Personal Secretary and Accounts Assistant at Coffee Board of Kenya (CBK)

The Coffee Board of Kenya (CBK) is a State Corporation established under the Coffee Act No. 9 of 2001.
The Board is a non – Profit, Regulatory & Service oriented, Corporate body under the Ministry of Agriculture, Livestock & Fisheries & is charged with the responsibility of promoting competitiveness in the Coffee Industry, Production, Processing and Branding of Kenyan Coffee and generally to regulate the Coffee Industry in the Public interest.

The Board wishes to fill the following vacant positions with dynamic, result- oriented and self driven individuals:

1) Personal Secretary

This is a Permanent & Pensionable position. 

The officer will work in the Managing Director’s office and will be responsible for:
  • Drafting letters and typing from drafts
  • Operating and managing office equipment in their custody
  • Attending to visitors/clients, handling telephone calls, emails and appointments
  • Ensuring security & Confidentiality of office records and documents
  • Effective management of office protocol and media issues
  • Maintain Confidential Records and filing
  • Handling issues relating to the Secretarial Cadre in a Department.
  • Undertake any other duties as may be assigned from time to time.
Requirements for Appointment
For appointment to this position, applicant must:-
(i) Have a Bachelors Degree/ Higher Diploma in Secretarial Studies, Business and Office Management, social science or equivalent qualifications from a recognized institution
(ii) Have served in the grade of Personal Secretary/ Administrative Assistant I or any other relevant & Comparable position for a minimum period of three (3) years
(iii) Have the following qualifications from Kenya National Examination Council: – Shorthand III (100-120wpm), Typewriting III (50wpm)/Computerized document processing III, Office Management III, Business English III/Communications II, Secretarial duties II and Commerce II
(iv) Have demonstrated professional competence in management of secretarial services and Shown merit and ability as reflected in work performance and results.
(v) Have attended a Management Skills course
(vi) Must have good temperament
(vii) Be fluent in English and Kiswahili
(viii) Certificate in computer Applications

2) Accounts Assistant

This is a Permanent & Pensionable position. 
Reporting to the Accountant II, an officer at this level will be responsible for:
  • Issuing receipts for collections and banking cash and cheques collected.
  • Preparation of the payment vouchers to suppliers and staff and posting to the general ledger
  • Preparation of journal vouchers for surrender of imprests and posting to the General Ledger
  • Bank reconciliation reports by the 10th of the following month.
  • Filing of payment vouchers
  • Issuing of cheques to suppliers and staff
  • Undertake any other duties as may be assigned from time to time.
Requirements for Appointment
For appointment to this position, applicant must:-
  • Be in possession of CPA II or its equivalent from a recognized institution
  • Be in possession of KCSE mean grade (C Plain) or its equivalent from a recognized examination body
  • Have served in the grade of Accounts Assistant or similar position for at least two (2) years in a reputable organization
  • Have high levels of integrity
  • Must be fluent in English and Kiswahili.
  • Be computer literate.
