Duty station: UNESCO Office in Nairobi

Grade and Type of Contract: L-5 (CLT/PAST) – 8-9 months with possibility of renewal

Purpose of post: Under the overall direction of the Director of the UNESCO Regional Office for Eastern Africa (hereafter referred to as the UNESCO Nairobi Office), and the direct supervision of the Programme Specialist for Culture, the incumbent will serve as Culture Programme Assistant to provide broad based support to the Nairobi office culture unit in projects and activities carried out throughout the 13 countries in East Africa (both Anglophone and francophone) with which the office deals.

Responsibilities

1. Assist with the preparation and the follow-up of contracts on the basis of the documents provided by programme specialists (input in SharePoint and internal on-line systems), draft amendments, liaise with the contractors, prepare dossiers for payments, etc.

2. Assist with the creation, review and delivery of documents (correspondence, memos, reports, etc.), liaise with central services for translation, printing, etc. 

Conduct research, collect and compile information, prepare presentations (MS Power Point).

3. Budgetary and financial follow-up: regular updates on the expenditure carried out on the basis of the project documents; participation in the development of financial reports, preparation and follow-up of the budget revision requests.

4. Assist with the organization and coordination of missions and meetings (workshops, conferences, travel arrangements for staff and participants, and other). 

Prepare working documents, logistical support, communicate with the participants and participate in meetings with or on behalf of the programme specialist if needed.

5. Perform other duties as may be required by the Culture Unit.

Profile   

Education:  
  • At least a University undegraduate diploma.  
  • Any training in project management is desirable. 
Experience:
  • Good knowledge of the UN system  – at least 5 years of experience supporting project implementation activities within the UN system.
  • Good knowledge and experience with software such as Power Point, MS Word, MS Excel.
  • Excellent organisational skills – ability to foresee possible project implementation challenges in time to propose solutions and avoid delays.
  • Fluency in English and in French (writing, reading).
