Vacancy: Administrative Assistant (Fixed Term Contract position)

Key responsibilities

  • Prompt and friendly answering of the switchboard phone
  • Efficiently relay telephone messages
  • Friendly reception and assisting of guests and customers
  • Manage access control system daily
  • Manage courier services for staff
  • Coordination and distribution of internal post and parcels to staff
  • Ensure adequate supplies for office and kitchen
  • Managing refreshments in vending machines with vendor operators
  • Handling sensitive messengerial duties
  • Assisting with obtaining quotes for required supplies
  • Assist in co-ordination of maintenance of facilities and equipment
  • Issue stationery to staff and maintain reorder levels
  • Maintain errand calendars for courier/transport of staff
  • Ensure energy saving of equipment and facilities
  • Coordinate with finance team on delivery of goods, supporting documentation and collection of payments.
  • Maintain record of office securing daily
  • Assist with work scheduling for routine/preventative maintenance
  • Handling adhoc administrative tasks

Qualifications and experience

  • College Diploma
  • Fluent spoken and written English
  • Minimum 3 years administrative work experience particularly front office duties
  • High proficiency in Ms-office  (Ms Word, Powerpoint, Outlook, Excel)
  • Internet and email knowledge essential
