Personal Assistant at African Economic Research Consortium (AERC)

The African Economic Research Consortium (AERC) is a not-for-profit Pan-African institution, dedicated for the last 25 years to enabling the advancement of economic policy research and training in Africa. 

The Consortium’s mandate and strategic intent is built on the basis that sustained development in sub-Saharan Africa requires well-trained, locally based professional economists.
AERC is seeking to recruit a suitable individual to fill the following position:
Personal Assistant – Executive Director’s Office
The position provides efficient and effective administrative support to the Executive Office.
 

Key Responsibilities:

  • Screens in-coming correspondence and makes preliminary assessment of importance of the information prior to forwarding to the Executive Director;
  • Provides Secretarial support to the Executive office (filing, preparing routine correspondence etc);
  • Receives and screens all visitors and incoming calls and determines which is priority;
  • Develops a computerized database of the various network members, institutions and organizations that are in constant contact with the Executive Office;
  • Facilitates the consolidation of annual calendar of events and implementation plans for programme activities;
  • Develop and maintain a sound document management systems in the Executive Office;
  • Ensures general office supplies are made available to the Executive Office as may be required;
  • Assists in preparation of quarterly and annual travel plans for the Executive Director and facilitates the travel in terms of flights, travel advances payments and accounting for them;.
  • Assists in preparation of documentation for various meetings for the Executive Director;
  • Assist in the coordination of various meetings within the AERC including Board of Directors meetings, Executive Committee meetings, Programme Committee Meetings and preparation of necessary documentation;
  • Any other duties that may be assigned.
Requirements:
  • Degree in Business Administration or related discipline;
  • At least 5 years similar experience;
  • Bilingual – French/English;
  • Proficiency in use of Microsoft office packages;
  • Good organizational and interpersonal skills;
  • Ability to work under pressure.
