Reporting to the transport officer, the driver logistics assistant is responsible for driving IRC vehicles and working with logistics in handling clerical/support works. He/she will also participate in routine driving duties as may be needed and will therefore be expected to adhere to IRC policy, rules and regulations and the Highway Code at all times.

Vehicle management

  • Drive vehicles while on road test or under normal operations as assigned by your supervisor.
  • Adhering strictly to the IRC’s vehicle policies and procedures and other IRC policies.
  • Daily and pre-long distance vehicle checks including undertake a daily check – nuts & bolts, fuel, oil, brake fluid, hydraulic fluid, jack, spare wheel, spanner, communications equipment
  • Accurate upkeep of the vehicle’s log sheet
  • Keeping the vehicle clean, mechanically maintained and ensure that the vehicle is timely refueled to avoid inconveniences
  • Checking and maintaining all vehicle accessories and advise the supervisor of any defects or problems
  • Report immediately any vehicle problem/defects to the Fleet/flight transport officer.
  • Report daily to the Logistics manager for briefings on the day’s duty and feedback as necessary.
  • Ensure to have own valid driving license, and the relevant documents for the assigned vehicle
  • Attend to and follow basic radio calls/procedures and other communication system

Security and Communication

  • Drive all duty vehicles when asked and ensure that the laid down condition regarding the night location and safety of the vehicle are adhered to at all times.
  • Adhere to IRC vehicle protocols and Kenya road traffic rules ensuring passengers wear safety belts all times when in motion
  • Ensure that at all times, the vehicle is used in accordance with IRC vehicle policy: eg: speed, passenger vehicle capacity, waivers for non IRC staff etc.
  • Maintain confidentiality regarding all information accessed by virtue of duties and responsibility, of either fellow staff or concerning IRC business in general, which are yet to be made public by the IRC
  • Ensure that unauthorized passengers are not carried in IRC vehicles unless waived and/or as instructed by the supervisor
  • Be personally responsible for safety of the assigned vehicle and the load under driver’s care.
  • Ensure safe delivery of item/parcel under your custody to the end point.
  • Any other duties as may be assigned by the supervisor.

General Logistics Tasks:

  • The data entry clerk will also be responsible to cover for the logistics assistant while on leave.
  • Help on the data entering and update for the IRC PROLOG in the absence of procurement team.
  • Facilitate all customs issues on air shipments when necessary.
  • Help logistics in forwarding documents to Finance and recording.
  • Tracking and deliveries of logistics documents to external sources.
  • Cargo movement to airport or warehouse.

Qualifications and experience

  • Knowledge of generic transport procedures and practices (NGO experience advantageous).
  • Experience in using HF/VHF Radio
  • Good mechanical background with Diploma in relevant field
  • Basic logistics or procurement training.
  • Familiar with urban and rural routes.
  • Valid driving license.
  • Pass score on IRC driving test.
  • Flexibility and willingness to work long hours if necessary. Strong sense of personal integrity.
  • Attention to detail.
  • Ability to organize and prioritize work.
  • Ability to multi task
  • Supervisory skills
  • Written and spoken English.
