The Kenya Conference of Catholic Bishops – Catholic Secretariat wishes to announce the following position

Title of the Post: Administrative Secretary
 

Purpose of the Post
 
To provide support at the secretariat in carrying out the day to day administrative duties
 
Reporting Line
 
To Commission Head / Department
 
Duties
  • Type and handle official documents (mails, reports, correspondence, memos, etc)
  • File and photocopy documents
  • Organize for meetings and take minutes at meetings
  • Follow up on actionable items specified in the minutes
  • Maintain the schedule of engagements and itineraries of the supervisor and other officers
  • Support in arrangement for workshops and provide secretarial support
  • Maintain an up-to-date mailing list of existing and potential contacts
  • Keep the office organized and ensure maximum care and security of office equipment and facilities
  • reat all confidential information and documents with utmost sense of responsibility
 Qualifications
  • A Diploma in business administration or its equivalent – Degree will be an added advantage
  • Excellent MS Office (MS Excel, MS Word and Power Point skills)
  • Minimum 3-4 years experience in a busy organization
  • Should have excellent Communication skills
  • Must demonstrate high level of initiative , honesty, dynamic strategic thinking
  • Must have good interpersonal skills
  • A person of attested integrity
  • Strong Oral and written communication skills required.
Performance Indicators
 
Extent of carrying out duties and responsibility in #5 above.
 
Personal Traits
 
Must be a committed Catholic, with good recommendation from own parish priest
